Terms of Service
Last updated: October 5, 2026
Effective Date: October 5, 2026
Last Updated: October 5, 2026
These Terms of Service (“Terms”) govern your access to and use of the QuickLog Aviation website, applications, software, and related services (collectively, the “Services”).
QuickLog Aviation (“QuickLog,” “we,” “us,” or “our”) is operated by QuickLog Aviation LLC, a California limited liability company.
By creating an account, purchasing a Service, submitting records, uploading materials, or otherwise using QuickLog, you agree to these Terms and acknowledge our Privacy Policy. If you do not agree to these Terms, do not use QuickLog.
1. Eligibility
You must be at least 18 years old and legally capable of entering into a binding agreement to create an account, purchase a Service, or use QuickLog.
You may use QuickLog only for aviation records that belong to you or that you are legally authorized to provide to QuickLog.
You may not create an account for another person, share your account credentials, or provide another person’s aviation records to QuickLog without appropriate authorization.
2. QuickLog Services
QuickLog provides technology-assisted pilot logbook transcription, professional review, aviation record-processing, and logbook audit services.
QuickLog currently offers Professional Review and Interview Ready Audit.
The availability, functionality, scope, supported formats, and features of individual Services may change over time.
2.1 Professional Review
Professional Review includes transcription of information from pilot logbook images provided to QuickLog.
A QuickLog reviewer compares the resulting digital transcription against the source images and corrects identified transcription discrepancies.
Professional Review is intended to determine whether the digital transcription reasonably reflects the information appearing in the source records provided to QuickLog.
QuickLog may correct clear transcription discrepancies without obtaining separate approval from the customer for each correction.
If information in the source record is illegible, ambiguous, incomplete, internally inconsistent, or otherwise cannot reasonably be determined, QuickLog may submit that information to the customer for clarification or verification before completing the project.
Once QuickLog completes the Professional Review and any necessary clarification process, final exports or deliverables may be provided to the customer.
The customer remains responsible for reviewing the final records before relying upon or using them for any purpose.
Professional Review does not constitute an audit of the accuracy, legality, completeness, authenticity, or regulatory compliance of the underlying paper logbook unless the customer has separately purchased Interview Ready Audit.
2.2 Notes, Remarks, and Similar Information
QuickLog may transcribe notes, remarks, annotations, signatures, endorsements, or similar information appearing in source records.
Unless QuickLog expressly agrees otherwise in writing, QuickLog’s review of notes and remarks is limited to transcription.
QuickLog does not independently verify the factual accuracy, legal effect, authenticity, sufficiency, validity, or regulatory compliance of information contained in notes, remarks, annotations, signatures, or similar portions of a logbook.
The presence of information in a QuickLog transcription or export does not constitute verification or approval of that information.
2.3 Interview Ready Audit
Interview Ready Audit includes transcription and Professional Review together with an additional review of the pilot logbook records provided to QuickLog.
As part of an Interview Ready Audit, QuickLog may recalculate or analyze flight-time totals and compare transcribed or calculated totals against page totals, amounts forwarded, totals to date, or other totals appearing in the source paper logbook.
The purpose of this process is to identify apparent mathematical discrepancies, inconsistencies, or differences between the underlying entries and the totals recorded in the source records.
Interview Ready Audit deliverables may include:
- a detailed audited spreadsheet identifying detected discrepancies or differences;
- a page-by-page report describing identified discrepancies and, where applicable, the point at which totals begin to diverge from recalculated totals;
- supporting documentation describing identified issues; and
- supplemental documentation suggesting possible methods for documenting or reconciling discrepancies in the customer’s paper logbook.
QuickLog may identify the point at which a discrepancy originated rather than repeating the same carried-forward discrepancy on every subsequent page affected by that discrepancy.
An Interview Ready Audit is limited to the records and categories of information provided to and accepted by QuickLog. Information that was not recorded in the source logbook may not be capable of being audited.
Interview Ready Audit does not include, unless QuickLog expressly agrees otherwise in writing:
- endorsement review;
- airline-specific application preparation or flight-time calculations;
- determination of eligibility for a certificate or rating;
- determination of regulatory flight-time minimums;
- verification that any flight time was legally loggable;
- verification that a flight actually occurred; or
- certification of regulatory or employer compliance.
2.4 Suggested Corrections and Reconciliation Documentation
QuickLog may provide suggested methods for documenting, explaining, or reconciling discrepancies identified during an Interview Ready Audit.
These suggestions are provided for organizational and informational purposes only.
They do not constitute legal advice, FAA guidance, regulatory approval, employer approval, or a determination that a particular correction method complies with any applicable law, regulation, company policy, recordkeeping requirement, or other standard.
QuickLog does not alter the customer’s original paper logbook.
The customer retains sole responsibility for determining whether and how to correct, annotate, supplement, explain, or otherwise modify the customer’s original records.
QuickLog documentation does not replace the customer’s original logbooks or source records.
3. No Certification, Regulatory Determination, or Legal Advice
QuickLog provides aviation record-processing and review services.
QuickLog does not:
- certify pilot logbooks or flight records;
- certify or independently verify flight experience;
- verify that a flight actually occurred;
- determine whether flight time was legally logged;
- guarantee that a logbook is complete;
- determine whether a pilot satisfies FAA or other regulatory requirements;
- determine eligibility for a certificate, rating, checkride, employment position, upgrade, insurance requirement, or other qualification;
- guarantee acceptance of records by the FAA, an airline, employer, flight school, insurance provider, government agency, military organization, or other third party; or
- provide legal, tax, or regulatory advice.
QuickLog may identify apparent discrepancies and provide informational suggestions relating to aviation records, but the customer remains responsible for determining how those records should be maintained, corrected, presented, explained, or used.
4. User Responsibility for Records
Your pilot logbooks and aviation records remain your records.
You are ultimately responsible for the accuracy, completeness, classification, maintenance, presentation, and use of those records.
Automated extraction, validation systems, consistency checks, calculations, human review, and auditing processes can fail to identify errors or discrepancies.
You agree to review QuickLog’s final deliverables before relying upon them for any purpose, including FAA records, airline applications, employment applications, interviews, logbook reviews, checkrides, certificates, ratings, insurance, training records, flight-time calculations, or other professional or regulatory purposes.
QuickLog should not be used as the sole authoritative copy of your aviation records.
You should retain your original paper logbooks and other source documentation.
5. Uploads and Source Materials
You are responsible for ensuring that uploaded logbook images are complete, readable, correctly oriented, and of sufficient quality for processing.
If QuickLog determines that an image cannot be reliably processed, QuickLog may require a replacement image or request clarification.
QuickLog is not responsible for errors or omissions caused by illegible handwriting, missing pages, incomplete images, poor image quality, incorrect uploads, damaged records, incorrect information contained in the original logbook, or information that cannot reasonably be determined from the materials provided.
By submitting records, you represent that:
- the records belong to you or you have authority to provide them;
- you have the legal right to authorize QuickLog to process them;
- you will not knowingly provide fraudulent, falsified, deceptive, or intentionally misleading aviation records;
- your submission does not violate another person’s rights; and
- your use of QuickLog complies with applicable law.
6. Supplemental, Military, Foreign, and Nonstandard Records
QuickLog may accept military, foreign, digital, supplemental, or other nonstandard aviation records.
Customers who have materials that cannot be submitted through QuickLog’s standard upload process may contact QuickLog regarding submission by email or another method approved by QuickLog.
Sending additional records to QuickLog does not automatically make those records part of the purchased Service.
QuickLog must agree to review supplemental materials before they become part of the project scope. Additional materials, additional records, unusual formats, or work outside the original project scope may result in additional charges.
QuickLog may decline to review materials that it cannot reasonably process.
Acceptance of military, foreign, or other nonstandard records does not mean QuickLog evaluates those records under any particular military, foreign, FAA, employer, or other regulatory standard.
QuickLog does not guarantee that any record, correction, reconciliation method, calculation, or recommendation complies with the requirements of any jurisdiction, military organization, airline, employer, regulator, or government authority.
7. Customer Clarifications and Paused Projects
QuickLog may request clarification or verification when source information is unreadable, ambiguous, incomplete, internally inconsistent, or otherwise requires customer input.
If customer input is required, QuickLog may pause processing until the requested information is received.
Any estimated completion date is suspended while a project is awaiting customer action.
When the customer responds, QuickLog may resume processing subject to QuickLog’s then-current workload and availability.
A customer’s delay in responding does not create an obligation for QuickLog to meet a previously estimated completion date.
8. Employees, Contractors, and Human Review
QuickLog may use authorized employees, independent contractors, reviewers, service providers, or other personnel to perform portions of the Services.
By using QuickLog, you acknowledge that your records and other submitted information may be accessed and reviewed by authorized QuickLog personnel where reasonably necessary to provide Professional Review, Interview Ready Audit, quality assurance, customer support, security, troubleshooting, training, administration, or other legitimate business functions.
QuickLog may establish internal access controls and confidentiality requirements for personnel who handle customer records.
Additional information regarding access to customer information is provided in the QuickLog Privacy Policy.
9. Exports and Third-Party Applications
QuickLog may provide exports designed for use with CSV, Microsoft Excel, LogTen Pro, ForeFlight, or other third-party applications or formats.
QuickLog may also facilitate import or transfer to compatible third-party applications where technically supported.
Third-party applications are independently owned and operated.
Their formats, software, functionality, calculations, import procedures, and requirements may change without notice.
QuickLog does not control and is not responsible for a third-party application’s acceptance, rejection, interpretation, modification, calculation, display, or storage of data exported from QuickLog.
Compatibility with any third-party application is not guaranteed.
You are responsible for reviewing your records after export or import to confirm that information transferred correctly.
10. Pricing and Payment
Current pricing for QuickLog Services is displayed on the QuickLog website or presented to you before purchase.
QuickLog may change its prices, pricing structure, fees, discounts, or available Services at any time.
Price changes will apply prospectively and will not retroactively alter the pricing structure applied to a project already purchased, except as described below regarding inaccurate or incomplete project information.
Customers generally pay before extraction or processing begins.
Initial pricing may be based on information provided by the customer, including estimated logbook size, page count, entry count, or other project information.
If the actual project size or scope differs from the information supplied by the customer, QuickLog may adjust the amount due using the pricing structure applicable when the project was purchased.
If the customer paid more than the applicable final amount, QuickLog will issue an appropriate refund.
If additional payment is required, QuickLog may issue an additional invoice.
QuickLog may withhold final exports, audit reports, correction documentation, or other completed deliverables until all outstanding project charges are paid.
Supplemental records, additional pages, additional entries, expanded project scope, or other work not included in the original purchase may be subject to additional charges.
11. Refunds and Corrections
Once a project is submitted to QuickLog, payments are generally nonrefundable except where required by applicable law or expressly provided in these Terms.
If QuickLog determines that it cannot substantially complete the Service purchased by the customer, QuickLog will refund the amount paid for that Service.
If a confirmed error attributable to QuickLog is identified in a completed project, QuickLog will correct that error at no additional charge where QuickLog can reasonably verify the original project, source records, and error.
This correction policy applies to confirmed QuickLog errors involving transcription, Professional Review, audit calculations, discrepancy reports, or final project deliverables.
Free corrections do not include:
- new logbook pages;
- newly added flights or records;
- changes made to the source records after the original submission;
- new information not previously supplied to QuickLog;
- additional analysis requested after completion; or
- work outside the scope of the originally purchased Service.
A customer’s failure to respond to clarification requests, review completed records, download exports, import records, or otherwise use a completed Service does not itself create a right to a refund.
Nothing in this section limits consumer rights that cannot lawfully be waived.
12. Accounts and Account Security
You are responsible for maintaining the confidentiality of your account credentials and for activity occurring through your account.
You may not sell, transfer, rent, or otherwise provide unauthorized access to your QuickLog account.
You agree to notify QuickLog promptly if you know or reasonably suspect that your account has been accessed without authorization.
QuickLog may suspend or terminate accounts associated with fraud, abusive conduct, chargebacks, security threats, unlawful activity, unauthorized access, misuse of the Services, or violations of these Terms.
13. Prohibited Uses
You may not:
- scrape or systematically extract data from QuickLog;
- reverse engineer, decompile, disassemble, or attempt to derive QuickLog source code or proprietary logic except where applicable law expressly permits;
- attempt to discover, extract, reproduce, or circumvent system prompts, internal instructions, models, configurations, security mechanisms, or proprietary processing methods;
- use unauthorized bots, scripts, or automated systems to access QuickLog;
- resell or commercially redistribute access to QuickLog without authorization;
- interfere with, overload, damage, or disrupt the Services;
- upload malware or harmful code;
- attempt unauthorized access to another customer’s records, projects, or account;
- knowingly use QuickLog to process fraudulent or falsified aviation records;
- impersonate another person;
- use QuickLog for unlawful purposes; or
- assist another person in doing any of the above.
14. User Content and Data
You retain ownership of the logbook images, aviation records, corrections, supporting materials, and other content you submit to QuickLog (“User Content”).
You grant QuickLog a limited, nonexclusive license to host, store, reproduce, process, analyze, transmit, display internally, and otherwise use User Content as reasonably necessary to provide, maintain, secure, troubleshoot, support, and improve the Services, subject to these Terms and the Privacy Policy.
Your records may be processed using third-party infrastructure, artificial intelligence systems, hosting providers, payment providers, and other service providers as described in the Privacy Policy.
15. Optional Product Improvement and Model Training
QuickLog may offer customers the option to allow copies of uploaded logbook images, extraction results, corrections, review information, audit findings, and related project data to be retained and used to train, test, evaluate, and improve QuickLog’s transcription, validation, auditing, error-detection, and related systems.
Participation is optional.
QuickLog will not retain a separate copy of a customer’s project specifically for QuickLog model training or product improvement unless the customer affirmatively agrees to participate.
If you choose to participate, training records may be stored separately from your active customer project and may not be associated with your QuickLog user ID.
However, original logbook images retained for training or product improvement may be preserved without alteration and may contain names, signatures, certificate numbers, dates, aircraft registrations, remarks, or other information that identifies or relates to you.
If you later request removal of training data by contacting QuickLog, QuickLog will use reasonable efforts to identify and delete retained training copies that can reasonably be associated with your request, subject to backup cycles, technical limitations, security requirements, and legal obligations.
Deletion of retained training copies does not necessarily require QuickLog to reverse or retrain models, systems, or improvements that were previously developed using authorized training data, except where required by applicable law.
Additional information regarding optional training participation and privacy choices is provided in the QuickLog Privacy Policy.
16. Storage, Project Deletion, and Account Deletion
QuickLog may store uploaded images, extracted records, customer clarifications, audit materials, corrections, exports, and related project information while the associated project or account remains active or as otherwise described in the Privacy Policy.
Customers may delete projects or request deletion through available account controls or by contacting QuickLog where appropriate.
When project or account deletion is requested, QuickLog will remove applicable active data in accordance with its then-current deletion procedures, backup cycles, legal obligations, security requirements, and Privacy Policy.
Account and privacy deletion requests may be directed to:
support@quicklogaviation.com
QuickLog may retain limited information where reasonably necessary for legal or regulatory compliance, accounting and tax requirements, payment and transaction records, fraud prevention, cybersecurity, dispute resolution, enforcement of these Terms, or establishing, exercising, or defending legal claims.
Training data retained pursuant to affirmative customer consent is governed by Section 15 and the Privacy Policy.
17. QuickLog Intellectual Property
QuickLog and its software, interfaces, branding, designs, documentation, workflows, algorithms, processing systems, validation systems, databases, review methods, audit processes, and other proprietary materials are owned by QuickLog or its licensors and are protected by applicable intellectual property laws.
Except for the limited right to use the Services under these Terms, no rights in QuickLog’s technology or intellectual property are transferred to you.
Subject to compliance with these Terms, QuickLog grants you a limited, personal, nonexclusive, nontransferable, nonsublicensable, revocable right to access and use the Services for their intended purpose.
18. No Accuracy, Compliance, Availability, or Completion Guarantee
QuickLog does not guarantee any particular transcription accuracy rate.
QuickLog does not guarantee that automated systems, validation methods, human review, Professional Review, or Interview Ready Audit will identify every transcription error, mathematical discrepancy, omission, inconsistency, or other issue.
QuickLog does not guarantee that any record, calculation, correction suggestion, reconciliation document, audit report, or other deliverable will satisfy FAA, military, airline, employer, foreign regulatory, insurance, or other requirements.
QuickLog does not guarantee uninterrupted availability, any particular uptime percentage, processing speed, or completion date.
Any turnaround time, estimated delivery date, or completion date provided by QuickLog is an estimate only.
Actual completion time may vary based on project size, complexity, source quality, workload, technical issues, customer response times, additional materials, and the need for clarification.
19. Disclaimer of Warranties
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, QUICKLOG AND THE SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE.”
TO THE MAXIMUM EXTENT PERMITTED BY LAW, QUICKLOG DISCLAIMS WARRANTIES, WHETHER EXPRESS, IMPLIED, STATUTORY, OR OTHERWISE, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, ACCURACY, RELIABILITY, AVAILABILITY, AND RESULTS, EXCEPT TO THE EXTENT SUCH WARRANTIES CANNOT LAWFULLY BE DISCLAIMED.
QuickLog does not warrant that the Services will be uninterrupted, secure, error-free, or free from harmful components.
Nothing in these Terms excludes warranties, guarantees, or rights that cannot legally be excluded.
20. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, QUICKLOG WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, EXEMPLARY, PUNITIVE, OR CONSEQUENTIAL DAMAGES ARISING FROM OR RELATING TO THE SERVICES OR THESE TERMS.
This includes, without limitation, losses associated with:
- lost employment opportunities;
- lost wages, income, profits, or business opportunities;
- airline or employment application errors;
- rejection by an airline, employer, regulator, insurance provider, flight school, military organization, or other organization;
- FAA or other regulatory actions, delays, determinations, or rejections;
- incorrect flight-time calculations or classifications;
- reliance on inaccurate transcription, review, audit findings, calculations, or correction suggestions;
- failure to identify a logbook discrepancy;
- loss, corruption, alteration, or unavailability of records or data;
- inability to access or use the Services;
- errors introduced by third-party applications or import processes; or
- decisions made in reliance on QuickLog deliverables.
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, QUICKLOG’S TOTAL AGGREGATE LIABILITY ARISING FROM OR RELATING TO A PARTICULAR PROJECT OR SERVICE WILL NOT EXCEED THE AMOUNT PAID TO QUICKLOG FOR THE PROJECT OR SERVICE GIVING RISE TO THE CLAIM.
These limitations apply regardless of the legal theory asserted and even if QuickLog has been advised of the possibility of such damages.
Nothing in these Terms limits liability that cannot lawfully be limited or excluded.
21. Changes to the Services
QuickLog may modify, add, remove, suspend, restrict, or discontinue Services or features at any time.
QuickLog may establish or modify supported formats, technical requirements, processing methods, usage limits, storage limits, project requirements, review procedures, or other operational requirements.
Where reasonably practicable, QuickLog will provide notice of material changes that substantially affect a Service already purchased.
22. Changes to These Terms
QuickLog may update these Terms from time to time.
If a change is material, QuickLog may provide notice by email, through the Services, on the QuickLog website, or by another reasonable method.
Updated Terms will identify their effective date or last-updated date.
Your continued use of QuickLog after updated Terms become effective constitutes acceptance of the updated Terms to the extent permitted by applicable law.
If you do not agree to updated Terms, you must discontinue use of the Services.
23. Termination
You may stop using QuickLog at any time and may request account deletion as described above.
QuickLog may suspend or terminate access to all or part of the Services if you violate these Terms, misuse the Services, create security or legal risk, fail to pay amounts owed, engage in fraudulent activity, abuse payment or chargeback processes, or where continued provision of the Services is no longer reasonably practicable.
Termination does not relieve you of payment obligations incurred before termination.
Provisions that by their nature should survive termination, including provisions concerning intellectual property, disclaimers, limitations of liability, payment obligations, data retention, and dispute resolution, will survive termination.
24. Governing Law and Venue
These Terms and any dispute arising from or relating to these Terms or the Services are governed by the laws of the State of California, without regard to conflict-of-law principles.
Subject to rights that cannot lawfully be waived, disputes arising from or relating to these Terms or the Services will be brought in the state or federal courts having jurisdiction in Riverside County, California, and you consent to the jurisdiction and venue of those courts.
25. General Terms
If any provision of these Terms is determined to be invalid, illegal, or unenforceable, that provision will be enforced to the maximum extent permitted by law, and the remaining provisions will remain in effect.
QuickLog’s failure to enforce any provision does not waive its right to enforce that provision or another provision later.
You may not assign or transfer your rights or obligations under these Terms without QuickLog’s prior written consent.
QuickLog may assign or transfer these Terms in connection with a merger, acquisition, financing, corporate reorganization, sale of assets, or similar transaction.
These Terms, together with the QuickLog Privacy Policy and any additional terms presented when purchasing a particular Service, constitute the agreement between you and QuickLog concerning use of the Services.
Section headings are provided for convenience and do not affect interpretation.
